A FreshBooks alternative for people who just need to invoice

FreshBooks is good software. It's also a subscription that starts at $276 a year and climbs as your client list grows, for something many freelancers use a few hours a month. If what you actually do is send invoices and quotes, track who paid, and export PDFs, you're renting an accounting suite to use its smallest feature.

Two structural things the table hides:

  • The client caps do the upselling. Lite allows 5 billable clients. Your sixth client ever (not per month) pushes you to Plus at $43. A modest freelance practice lands on the $516-a-year tier fast. InvoiceOffline has no client limit on any tier, including free.
  • The price you sign up at is not the price you keep. Subscription software reprices; FreshBooks' current tiers are already higher than they were a few years ago, and intro promos expire. A one-time license can't be repriced after you buy it: every 1.x update is included, and that's written into the terms.

Stay with FreshBooks if…

An honest list, because switching to the wrong tool costs more than any subscription:

  • You need bookkeeping, not just invoicing. Bank feeds, expense capture, accountant access, tax-time reports. InvoiceOffline doesn't do accounting and won't.
  • Your clients pay by card through the invoice. FreshBooks embeds online payments; InvoiceOffline puts your payment details (bank transfer, PayPal, whatever you use) on the PDF, and you record the payment when it arrives.
  • You track billable hours against projects. FreshBooks has time tracking; in InvoiceOffline, hours are just line items you type.
  • A team shares the billing. FreshBooks sells seats ($11/user/month). InvoiceOffline is single-user by design.
  • You're not on a Mac. InvoiceOffline is macOS only today (signed and notarized, universal for Apple Silicon and Intel).
